Mail List for PhD Students at IFM

For PhD students at IFM, who are not on the PhD student e-mail list, you should follow the procedure:

Introduction List for New PhD Students

For PhD students, who have recently started at IFM, there is a list with the purpose to introduce the new student into different facilities at IFM. You get this list from the administrator in your division.


Why mentorship?

- The mentor has an intimate knowledge of IFM's way of conducting doctoral studies. This means that the mentor can assist in matters regarding expectations for a supervisor as well as expectations for a doctoral student.

- Mentorship offers doctoral students an alternative to their supervisor. Doctoral students may ventilate their concerns to someone other than their supervisor, someone who is familiar with IFM's way of conducting doctoral studies. Problems and conflictive situations will hopefully come to light at an early stage and be resolved before they turn into a serious controversy.

- The mentor is someone who the doctoral student may approach with miscellaneous matters, such as practical laboratory work, workspace, doctoral-student appointment, and supervision.

- Doctoral students are encouraged to take the initiative in seeing their mentors for an introductory meeting.

- The mentor should study and discuss the doctoral student's individual curriculum.

- The mentor should be accessible to the doctoral student as an alternative to his or her supervisor. It is important to attend to any problems and take action at an early stage. Please contact the supervisor and/or director of studies if necessary.

- Every year, the doctoral student, the supervisor, the assistant supervisor or supervisors (if any), and mentor should follow up and revise the individual curriculum. The student's coursework and doctoral-studies schedule is discussed. The reason for any delay is analyzed.

Pedagogical Training

IFM is organizing a basic pedagogical course; Science Education for Postgraduate/Doctoral Students (3 hp).
This course is given in English twice per year, one in the spring and one in the autumn. Course responsible is Fredrik Jeppsson <fredrik.jeppsson@liu.se>.  Registration for the course should be sent to Lena Martinsson <lenma@ifm.liu.se>. 

The organization Didacticum at LiU offers a series of courses in pedagogical training, "steg-kurser," where each course represents a certain stage of teaching.


Students do and do not have insurance!

Personal-injury insurance
Students attending state universities and university colleges (including doctoral students) are covered by personal-injury insurance during school hours and during direct travel between their home and school. The insurance covers personal injury as a consequence of accidents and certain cases of illness caused by infection. Compensation is paid for medical care, medicine, physical therapy, transportation, and other expenses. You may also receive compensation for pain and suffering. If your injury becomes permanent (in the event of medical invalidity), the insurance provides compensation for loss of income, deformity, and disability as well as for costs and inconvenience in general. Insurance during off-school hours
The personal-injury insurance is not effective during off-school hours. Most accidents occur during leisure time. The university therefore recommends its students to effect an accident insurance for coverage during leisure time.

Homeowner's insurance
Please note that it is important to effect a homeowner's insurance.

Salary Steps

As of October 2016:

Step 1:  27000 kr
Step 2:  27800 kr (month after finishing 30 % of the graduate education)
Step 3:  29600 kr (month after finishing 60 % of the graduate education or obtained a licentiate degree)

You should be moved to level 2 the month after completing 30 % of your PhD studies and to level 3 the month after completing 60 % or obtaining a licentiate degree.

Criteria to determine when you should be moved up:

1. Time as a PhD-student (not including parental-leave, sick-leave, etc.).

For students with 10 % teaching: 30 % of PhD studies is after 16 months, and 60 % is after 32 months.
For students with 20 % teaching: 30 % of PhD studies is after 18 months, and 60 % is after 36 months.

2. Completion of course credits.
3. Progression of research project.
4. Publications.

Guidelines for moving to level 2:

1. Finished the science education (pedagogics) course (or at least planning to take it within a few months).
2. About 30 % of the course credits finished.
3. If you are to write a project preparatory paper (Forum Scientium students), it should be finished.

Guidelines for moving to level 3:

1. Licentiate degree.
1. About 60 % of the course credits finished.
2. At least one paper accepted and one submitted.

These are guidelines, and in the end, it is the supervisor that decides when the PhD student has completed 30 % and 60 % of the studies and should be moved to the next salary step. The division administrators are encouraged to check on a routinely basis for when the PhD students are close to approaching the research time required to be moved up to the next salary step and inform the corresponding supervisor. The supervisor is encouraged to have a meeting with the PhD student to discuss a possible salary raise and then inform the administrator about the decision. The PhD students and supervisors are also encouraged to keep track themselves of when the time is approaching for the salary advancement.

The PhD student should get the new salary the month after the requirements were filled. If the PhD student for some reason was not moved up when he/she should have been, he/she has the right to receive the salary increase retroactively.

Communication Guide

During the doctoral studies, it is essential that communication and expectations between PhD student and supervisor are clear and realistic. The need of supervision changes during the PhD period. It is therefore important that the PhD student and the supervisor take mutual responsibility in the communication and collaboration. The purpose of the communication guide is to stimulate the dialogue on these subjects.

The use of the communication guide is voluntarily. There are also other ways to receive the same result. Eg, in the course “Research supervision – Advanced Course in Higher Education Pedagogy” provided by Didacticum, LiU, some of the supervisors will learn about a so called Supervisory contract.

The communication guide will be discussed by the PhD student together with the main supervisor and/or a co-supervisor. It is recommended that this is done during the first three months. It is then recommended that the communication guide is rewritten and discussed at least yearly. Some of the questions can be difficult to answer the first year of the PhD studies. The communication guide should be regarded as a “living document” where the answers in the guide will change during the PhD period.

Reflect upon how the supervision and how the collaboration with you supervisor has developed during the past year regarding, supervision, feedback, project planning, expectations, teaching and courses. Is something in need of a change in your collaboration?

Support Functions at IFM

At IFM there are several people you as a PhD student can talk to if you have problems in your studies or if you have any questions. Some of the support functions/persons available for PhD students at IFM are:
